POSITION SUMMARY: Embody the administrative team mission of providing courteous and efficient administrative, clerical and project support to all departments in the division.
The Administrative Assistant II will be responsible for providing general administrative support functions for department employees ensuring efficient office operations.
Milliman Care Guidelines Major Responsibilities
- Provide advanced assistance to a department by performing various general administrative support functions, including but not limited to duties that ensure efficient office operations.
- Assist in the oversight and coordination of administrative, program, and office activities. Establish, select, implement, and coordinate office procedures and systems.
- Proofread and edit material for grammatical and factual accuracy.
- Manage complex calendars including scheduling a high volume of appointments and meetings.
- Maintain an organized system of tracking, monitoring, and prioritizing tasks and initiatives.
- Provide supporting communications assistance to ensure timely responses to inquiries including acting as liaison for team with internal partners, answering questions, and routing requests.
- Create and maintain spreadsheets. Assist with structuring PowerPoint presentations.
- Assist with Reception coverage, special projects, and other duties as needed.
- Perform advanced word processing and desktop publishing to include complex presentations, reports, spreadsheets and graphs; transcribe information of a technical, confidential and/or sensitive nature.
- Assist with travel needs and independently coordinate travel arrangements.
- Complete expense reporting and invoicing and track budget expenditures
- Research, compile, summarize, and analyze information to formulate correspondence and respond to various inquiries from internal and external customers. Utilize company personnel at all organizational levels to gather information to prepare reports.
- Screen mail and callers, respond to and route inquiries to appropriate personnel as necessary; determine importance and priority of various issues and determine what major issues should be brought to the attention of the department head and/or department members.
- Handle highly confidential, sensitive and/or critical information, files, records, and reports.
- Actively promote and ensure clear communication within the department and facilitate interdepartmental communication.
- Manage and coordinate projects and programs to ensure high quality end results within given timeframe.
- May be required to perform other related duties as required and/or assigned.
Experience Required:
- Minimum five years administrative experience
- Excellent written and oral communication skills
- Ability to interface effectively within all levels of the organization
- Thorough knowledge of corporate operations and product line
- Demonstrated judgment, tact, and diplomacy in dealing with internal and external customers
- Ability to handle highly confidential and proprietary information
- Initiative and organization skills
- Self- motivated, enthusiastic, positive attitude
- Ability to perform as a team player
- Experience working with senior level management
- Demonstrated exceptional computer skills and software application proficiency
- Demonstrated ability to read difficult instructions and maintain written records
- Strong proficiency in Microsoft Office suite of products and other software: Word, Excel, PowerPoint, Outlook, Adobe Acrobat Professional, Visio, and the Internet.
- Strong oral and written communication skills, including English grammar, spelling and punctuation.
- Ability to maintain a high level of confidentiality for all organizational, personnel, and research matters.
- Ability to screen incoming calls and correspondence and respond independently when appropriate.
- Demonstrated flexibility and adaptability when working in a fast changing environment.
- Ability to prioritize and meet deadlines and work gracefully under pressure; demonstrate exceptional organizational skills; detail oriented; ability to work on a number of small projects simultaneously, providing high quality work.
- Ability to work in support of and collaboratively with a range of people at all levels, including management and staff, board members, contractors, outside vendors, and suppliers.
Education or Training: Some college or Associate's Degree required; Bachelor's Degree preferred.
